TENANT'S GUIDE TO RENTING A PROPERTY  

Although Letting Agents have different procedures, this guide is intended as a general overview to assist you when renting a property. Set out below are a few significant pointers to assist you.

Viewings

Our friendly team are available to arrange and escort you around those all important viewings of your preferred properties. Our offices are open 6 days a week so please contact us to arrange a mutually convenient time.

Affordability

In order to pass the credit score you will need to be able to demonstrate an annual household income of at least two and a half times the annual rent.

Making Your Offer

Once we have found your suitable property, you will be in a position to make an offer to the Landlord for consideration. Please note that any offer you make would be subject to you fulfilling our reference criteria.

Agreeing The Let

Once an agreeable offer has been accepted and the Let agreed, you will be required to complete a Tenants Application Form and provide a non-refundable administration fee per adult as quoted below.  Also at this point you will be asked to formally identify yourself to allow us to comply with Anti Money Laundering Legislation.  We will need to take photocopies of ideally your passport, or photo driving license, birth certificate etc to identify you.  A list of ID documents that are accepted can be obtained from our office.  

Referencing

As soon as your offer has been accepted by the Landlord, we will apply for references and draw up the tenancy agreement which will form the basis of the agreement between you and the Landlord.  If you are self  employed we will need to contact your accountant.

There are generally three types of references that we undertake and they are as follows:-

1. Credit Check – This is carried out on our behalf by our external Referencing Company and will look into your past addresses and credit history.  The results of which determine whether you are considered eligible to rent the property.

2. Employment Reference – Our external Referencing Company will write to your existing employer asking for confirmation of your employment status (temporary or permanent), length of service and current salary.

3. Landlord/Agent Reference – If you are currently renting a property our external Referencing Company will write to your existing landlord/letting agent asking for confirmation of current monthly rent, if the property has been well maintained and that the rent has been paid on time consistently.

Rent and Deposit

You will be required to provide the agreed sum of rent and deposit before taking possession of the property.  This needs to be paid in clear funds by either a bank transfer or a cash payment. Rent is to be paid monthly in advance commencing on the first day of the tenancy and then on the same day each month thereafter by a bank standing order. Money must reach the landlord or Agent bank account by the due date and therefore standing orders are required to be set up for a few days prior to this date, to allow for banking timescales.

The deposit is held for the full tenancy against loss, dilapidations or charges payable at the termination of the tenancy. Whilst this is usually the equivalent of 1 month's rent, this may vary due to individual circumstances. Sample Mills & Co are members of the Deposit Protection Service, and all security deposits are sent away and held in accordance with Financial Conduct Authority client money regulations. It is returnable at the end of the tenancy subject to final inspection of the property. It should be noted that alongside our check out fee, deductions will also be made for damage during the tenancy, as well as cleaning charges should the property and garden areas not have been left in a satisfactory condition.

Additional Deposit for Pet

If a Landlord has agreed to take a pet at the property you wish to rent, you will be liable to pay an additional deposit for any damage caused to the property by the animal, this usually amounts to 2 weeks' rent, however this amount may vary depending on the type of animal.

 

Tenant Fee Information

Once you have found a suitable property with Sample Mills & Co you will need to complete a Tenancy Application Form and pay Referencing and Application Fees as follows:-

Single/Joint Application Reference = £312.00  including VAT.

Additional Person Reference = £108.00 including VAT.

Guarantor Reference Fee (if required) = £108.00 including VAT.

Inventory Report £120.00 including VAT.

         

All the above Fees are required on Application. 

The Fees are NON-REFUNDABLE once the referencing process has commenced.

In addition to the above Fees, the following charges will apply in signing a new Tenancy Agreement:-

  • Administrative charges for set up of each new Tenancy Agreement £60.00 including VAT.
